YIWU & CHINA SOURCING
BUYER SOLUTIONS / BUYING OFFICES & IMPORTERS
If you already have a supplier network, you may need selected local support rather than a new procurement process. Scope the tasks, reporting format and approval responsibilities so your buying team stays in control.
YOUR BUYING PRIORITIES
Add structured local coordination to the supplier relationships you already manage.
01
Agree which supplier conversations and approvals remain with your team and which tasks are delegated.
02
Use the product codes, order milestones and document format your team already works with.
03
Record issues with evidence, proposed next steps and a deadline for the buyer’s decision.
LOCAL SUPPLIER COORDINATION
Keep established suppliers connected through production follow-up, inspection coordination and shipment planning. A defined local support scope gives your team a consistent status record, clear escalation points and documented approvals across the orders you already manage.
THE FIRST CONVERSATION
BEFORE THE WORK STARTS
Record the tasks, approval responsibilities and reporting format. Review sampling, inspection, testing and transport costs separately where applicable.
THE PROJECT PATH
01
Product references, quantity, market and the version you need.
02
Compare suppliers and approve the sample and packing.
03
Record production milestones, checks and open issues.
04
Reconcile suppliers, SKUs, cartons and the handover.

| Task | Information the buyer provides | Output to agree |
|---|---|---|
| Supplier follow-up | Contacts, purchase orders, milestones and communication permissions. | A status record with evidence, open issues and next action. |
| Sample coordination | Specification, supplier reference, sample purpose and approval contact. | A labelled sample record and comparison against the brief. |
| Inspection coordination | Checklist, access arrangements, timing and release authority. | Inspection findings and any corrective-action or recheck record. |
| Cargo coordination | Expected supplier dispatch, SKU and carton details. | Receiving reconciliation and an approved handover record. |
| Exception handling | Escalation contacts, spending authority and change rules. | A decision request showing options, impact and required approval. |
REPORTING THAT SUPPORTS A DECISION
01
Keep project, purchase order, supplier, SKU and revision references in each update. A product name alone is insufficient when a buying office handles similar items or several language versions. Match photos and documents to the relevant reference.
02
Distinguish a supplier’s promised date from observed production or a confirmed dispatch. Record the source and date of the update. If a task cannot be verified, mark it open and state what is needed to close it.
03
A useful exception report identifies the issue, affected quantity, timing impact and decision required. Include the available options where known, such as rework or split shipment, with cost and timing still subject to confirmation.
HANDOVER & CONTINUITY
Agree the reporting frequency and format around the project risk and decision cycle. Keep a current open-issue list, sample approvals, inspection findings and shipment records in a structure shared with the authorised contacts. Changes to specification or scope should carry an approval reference.
At handover, identify completed tasks and unresolved matters separately. Retain the supplier’s latest confirmed position, the evidence available and the next responsible person. The objective is an actionable order history rather than a long chain of disconnected messages.
