UNDERSTAND THE TOTAL COST
A branded mug quote may include only the mug and decoration. Another may also include a retail box, insert and assembly. Before deciding which is cheaper, align the product, artwork, packing and quantity, then list setup and delivery charges separately.
For a gift kit, compare the total approved component list rather than multiplying one item’s price by the number of sets. Sample revisions, extra print versions or a changed box can affect the first-order cost. Request a revised written scope when the project changes.
KEEP THE QUOTE REVIEWABLE
01
Service fees are quoted against the agreed tasks, products and suppliers. Your proposal should identify the deliverables, approval responsibilities and any separately charged work, so you can assess the service cost alongside the product and shipment costs.
02
Identify external costs, additional visits, specialist tests, rework, storage and transport assumptions. Ask how extra work is authorised. An exclusion should be visible before work starts rather than discovered when the invoice arrives.
03
Check currency, validity, payment milestones and the assumptions behind timing and freight. A change in construction, quantities, destination or packed measurements can require a fresh offer. Keep the approved commercial version with the order records.
FEES & ESTIMATES
An initial estimate can be discussed with assumptions shown, but the final scope needs the product, quantities and tasks. Mark unresolved specifications and external charges clearly. The estimate should not imply that an unknown item or shipping scope is already confirmed.
No fixed price advantage is claimed. Compare the full specification, supplier suitability, packaging, service scope and commercial terms. A useful offer is one whose assumptions you can inspect and whose product matches the intended order.
A retained specification and artwork can simplify comparison, but prices, minimums, material availability and transport can change. Ask the supplier and service providers to reconfirm the current scope and quote rather than assuming the previous cost remains valid.
